Oversee the processing of all customer orders in a timely manner as they are placed in Shopify and QuickBooks, including entering corporate order requests from the Customer Support Team. Work closely with the accounting team to ensure all products are correctly entered into Shopify and QuickBooks. Coordinate with the accounting team on both week-ending and month-ending accounting transactions. Coordinate and help organize processes for shipment of all products for customers, sales reps, distributors, trade shows, and special events. Oversee ordering product imports from domestic and international suppliers while adhering to FDA and Customs standards. Control all product inventory and determine optimal reorder points. Send weekly reports on inventory totals and highlight any need for reorders to the accounting team. Maintain accurate HTS codes for international shipments and interface with customs Obtain monthly physical counts of inventory. Maintain close contact with domestic and international freight forwarders and product vendors to ensure timely delivery and shipping, including continuous negotiation of rates. Work with the quality assurance team on the quality control of incoming and outgoing shipments, maintaining incoming inspection of inventory. Develop and document warehouse procedures, policies, and safe practices to ensure compliance and efficiency. Maintain the warehouse for FDA audits and participate in audits as they pertain to the warehouse. Investigate and present cost-saving measures for shipping, receiving, warehousing, supplies, and materials. Handle customer relations by maintaining polite and professional communication via phone and email with internal teams and external partners. Assist with the pre-sale and post-sales process by creating sales estimates, purchase orders, and invoices as requested.
