Oversee an internal conflicts department and an outsourced records team. Responsible for managing daily operations and handling of conflicts, files, file room, and overall records management. Responsible for timely delivery of active files, new files, and/or files from storage, and maintenance of file index and conflict checking systems. Assists with pre-screening and conflicts searches. Periodically reviews files for location to inactive storage. Provides advice on warehousing space, long-term storage, microfilming and retention schedules. Advises and updates on trends and procedures in conflicts and filing systems. Provides recommendations for recording and reporting improvements. Trains staff. ConflictsOversight of all incoming new matters and conflicts determinations, including daily conflicts reports and incoming lateral hire searches. Preliminary resolution of conflicts issues and coordination with General Counsel and Loss Prevention Partner on any larger ethical issues. Implementation of any ethical walls. Oversight of all Conflicts Database information and integrity. Develop procedures, documentation, and training. Research and implement best practices in the field.RecordsOversight of maintenance and disposition of all physical (paper) and electronic files related to Firm cases. Manage retention of all vital documents such as intake forms, engagement and close-out letters, waiver letters, client file release authorization letters, Will vault, Safe, and all internal and external document repositories. Oversight of Records Database and data integrity. Direct File room staff and IT with regards to external files transfers. Regular review of files eligible for destruction. Review and pay monthly offsite storage fees. Develop procedures, documentation, and training. Research and implement best practices in the field.
