Work on and plan multiple meetings, large-scale conferences, and events for a variety of clients simultaneously • Work with client to finalize all logistics; air travel, ground transportation, food & beverage, meal guarantees, meeting space, room set, audio/visual, production, off-site events, activities and special needs. • Create comprehensive event project plans, including run-of-show documentation; conduct regular checkpoints with deliverable owners, including outside technical vendors; escalate risks and challenges appropriately; and ensure events are delivered within time and budget requirements. • Create and manage event timelines and workback schedules • Responsible for budget management, budget reconciliation, and payment processing for all assigned projects • Review supplier contracts prior to finalization, ensuring both program specific and generic terms and conditions are accurate and legally protective of the client, including attrition dates, cancellation policies, etc. • Manage the site selection process. Use Cvent for sourcing management process • Find all available best-fit venues for events, facilitate the bidding process, and negotiate contracts, taking into account both hard dollar costs and hidden risks. • Develop and manage attendee registration process • Responsible for working closely with client to build, test, and modify event websites and mobile event apps quickly and error free • Manage all aspects of on-site registration including travel to the show site, contracting and supervision of assigned temp staff and vendors, as well as rental/purchase of all necessary materials. • Act as liaison between venue and client to optimize contracted F&B minimums • Produce floor plans and manage event décor vendors
