Managing Group Bookings• Booking the blocks in Rezlynx according to the correspondence received.• Review contracts and ensure the correct rates are applied to each booking,including any applicable FOC allowances.• Coordinate group room blocks in the Rezlynx and monitor pickup, release dates,and cut-off periods.• Assist with rooming lists, payment schedules, and billing accuracy.• Work closely with Operations (Front Office, Housekeeping, F&B, Events) toensure group requirements are met such as dinner requirements or any meetingspace requirements.Sales Support & Coordination• Prepare group contracts, proformas, and invoices.• Keep track of provisional bookings in the system and reach out to the KAMs forthe follow up.(bookings booked provisionally for more than a month)• Maintain and update the group data base, with all correspondence and bookingdetails.• Assist the Group Sales Manager in managing client accounts and following up onleadsAdministrative & Reporting Duties• Ensure compliance with company policies, contracts, and credit procedures.• Co-ordinate for the invoices to be sent coach companies pending or balancegroup payments.• Prepare bi-weekly availability date report for coach operators and Travel agentsfor any last-minute business.Client Communication• Ensuring all details are reconfirmed before group’s arrival.• Prepare a weekly report on group arrivals( 07 days prior), highlighting any keyinformation for the Hotels.• Handle client queries, special requests, and amendments if any such as changein date or number of rooms/pax booked.
