Vendor management for approximately 300 firms/vendors in both ebilling system and with Vendor Master in concert with departmental support staff-Invoice and credit processing and management of inquiries and issues related thereto, including business allocations for estimated annual patent portfolio, annual copyright license and rebate of primary IP law firm’s quarterly discounts-IP matter creation and matter management and communication with IP firms/vendors related thereto-Project Administration - Reconcile nightly patent database feed into billing system-Assist in managing corporate legal department as a business using proven enterprise legal management practices in connection with the Associate Director of Legal Operations and other Legal Department management-Oversee outside counsel and legal service providers including negotiating timekeepers, rate increases, and engagements in support of billing guidelines-Administer legal e-billing/matter management system including system maintenance, user administration, troubleshooting (IT issues, invoices, matters, workflows, rules, functionality), ensuring success of weekly AP feed, system design and setup-Prepare various reports as needed for Legal, Finance, Business Units and other ad hoc requests -Monthly reconciliation of intercompany charges for various Business Units-Training and creation of instruction tutorials for various Legal Department operations and systems-Collaborate with in-house attorneys and outside law firms on the creation and management of matter budgets-Liaise across the organization with the C-Suite, Finance, IT and all legal clients for various inquiries and legal needs-Support long-term strategy, aligning annual goals and corresponding metrics
