Facilities & Operations SF | 15 Locations | 8 States |$7.7M Budget OversightI lead facilities strategy and operations across a multi-state portfolio, overseeing $2.4M in operating expenses and $5.3M in capital planning. My focus is transforming facilities into a structured, data-driven operational partner that enables growth, improves workplace performance, and reduces risk.I manage 30+ vendor partners and a blended team (1 direct, 3 indirect reports), driving accountability, service standards, and long-term infrastructure planning. I negotiated $800K in vendor savings while improving service delivery and implemented sustainability initiatives including LED retrofits and composting programs. To modernize operations, I implemented ServiceNow Workplace Service Delivery (WSD), replacing legacy systems with enterprise seat mapping, space planning tools, reservation systems, and a preventative maintenance CMMS platform. I built a real-time Facilities dashboard to provide leadership visibility into performance metrics and strategic initiatives.I reorganized the Facilities function into four operational pillars: Operations & Maintenance, Projects, Finance & Procurement, and Strategy. I also developed standardized process maps in iGrafx and launched a centralized Facilities Resource Hub to streamline internal service requests. In partnership with HR, Accounting, and Procurement, I support workplace accommodations, lease strategy, office relocations, and site evaluation decisions. I have led business continuity efforts during multi-day snow events and power outages to protect employees and maintain operations.I lead with a servant leadership philosophy and am currently strengthening team structure to improve retention and long-term resilience. My mandate is clear: build scalable infrastructure that allows executive leadership to focus on strategic growth.

ABOUT JAMES OLMSTED

I build structured, scalable infrastructure that allows organizations to operate with clarity and confidence. My background is in facilities and operations leadership across multi-state portfolios, where I oversee significant operating and capital budgets and translate strategy into disciplined execution. I focus on transforming support functions into structured, data-informed operational partners that reduce friction, control costs, and enable growth.I specialize in process design, systems implementation, and operational architecture. Whether implementing enterprise workplace platforms, restructuring team functions, negotiating vendor performance, or leading complex site transitions, my approach is consistent: build repeatable systems that perform under pressure and scale with the organization.I am particularly drawn to environments undergoing growth or operational refinement—where governance, infrastructure, and execution must align. I have led business continuity efforts during major weather events, modernized legacy systems, and introduced dashboards and reporting structures that give leadership clear visibility into performance.Beyond my corporate role, I serve in board leadership, where I have helped rebuild governance structures, introduce accountability processes, and strengthen long-term strategic direction. As an entrepreneur, I apply disciplined process design and margin-focused thinking to build efficient service-based businesses.I lead with a servant leadership philosophy and believe strong infrastructure—whether operational or organizational—creates freedom for people to perform at their best.I am interested in executive-level roles where operational strategy, infrastructure, and disciplined execution are critical to scaling responsibly and sustainably.
