Coordinate the scheduling/coordination of all activities including internal and external events in unison with Campus Facilities Operations, Dining Services, and other supporting departments.Lead and oversee activities of departmental staff to ensure efficiency and effectiveness.Oversight of servicing schedules for event and administrative project staff assignments.Communicate with guests, clients, and staff about the regulations of the buildings and ensure they are enforced such as facility use policy, smoking policy, parking regulations, etc.Maintain supervision for all relevant records including vendor licenses, insurance certificates, and equipment repairs and replacement.Regularly research and implement process improvements, manage equipment maintenance and replacement, as needed, and maintain awareness of industry best practices.Oversight of contracts and details related to internal and external events.Build and maintain complete and accurate event files.Manage and reconcile revenues and expenses derived from events and activities held throughout The Conference Center.Serve as the event coordinator/supervisor for events throughout The Conference Center.Supervise event logistics, facility reservations, catering, safety and security, audio-visual equipment and support.Coordinate the data and event-related information into computer systems and digital display systems.Assist with strategic planning and ensure compliance with university and departmental policies and procedures.Develop and maintain a tracking system with detailed reports to document facility use, support, and income opportunities.Oversight of training for Crowd Management for events.Oversee cash handling and balancing of the Welcome Services Center cash drawer.Other duties as assigned. Serve as the administrative officer of The Conference Center in the absence of the Director/Associate Director.
