Roles & Responsibilities:Tender Preparation Cell Management:• Preparation of the detailed datasheet of the approved works for tendering and maintaining the total database with updated status of the processed tenders for further monitoring.• Preparing and reviewing tender documents for works/ services as per GOI norms in line with GFR, GCC, CPWD & other guidelines.• Preparing and reviewing BoQ in Macros enabled format.• Preparing Technical Sanction for tendering process.• Determining the bid strategy and all kind of T&C(s) of the tender documents based on the required type of works/ services, required expertise, certifications, technical & financial informations and the evaluation process as per SOP and as approved by competent authority inline with GOI norms & Institute Policies.In-charge, Project Control Cell (DOIP):• Co-ordinating with Engineers, Contractors, Sub-contractors & the users to keep control on the ongoing projects.• Managing the database of all kind of tracking sheets/ registers and implementation of new strategies/ ideas for improvement.• Monitoring the progress status of the projects to mark the hindrances and co-ordinating with the Engineers & all concerned to resolve the hindrances from root asap to ensure timely completion.• Preparation of various monthly & fortnightly reports like Project Progress Reports, Summary of all awarded & tendered projects, Finance/ Cost Analysis Reports etc.• Site visit with the Engineers and other representatives to register the actual site conditions and to plan further actions accordingly.• Preparation of Completion Certificates & Performance Reports of the agencies.• Monitoring & managing the bills tracking database to ensure on time payment to the contractors/ agencies.Other responsibilities:• Drafting urgent & important Office Orders, Notices, Letters & other crucial paper works in line with the policies adopted by the Institute & the Competent Authority.• Assisting Campus Care Team (DOIP).
