As a Facilities Administrator, I oversee and manage all operational functions of our Facilities Team in collaboration with our Director of Facilities. My role encompasses complete administrative management and supervising staff, contractors, and vendors to guarantee smooth and effective facility operations.Key Responsibilities:Supervision and Leadership: Direct and supervise the facilities team, including staff and external contractors. Foster a collaborative and efficient work environment through clear communication and leadership.Administrative Support: Offer full administrative support to 3 divisions;CapEx,Sustainability,Facilities OPs as well as the Director of Facilities, including scheduling, budgeting, and reporting. Ensure all documentation and records are accurate and up-to-date.Operations: I oversee admin and ops; I am responsible for creating and executing SOPs to ensure our department is functional and well-maintained from an operational standpoint.Budget Management: Assist in developing and managing the facilities budget. Monitor expenses, approve purchase orders, and ensure cost-effective solutions without compromising quality.Vendor Management: Establish and maintain relationships with vendors and service providers. Negotiate contracts, oversee service agreements, and ensure compliance with organizational standards. Prepare and maintain RFPs, bid information, and other contract documents. Manage vendor relationships, including setting up new vendors and scheduling and overseeing Quarterly Business Reviews (QBRs).Project Management: Lead and coordinate related projects, from planning and design to execution and completion. Ensure projects are completed on time, within budget, and to the desired quality standards.Strategic Planning: Manage compliance activities and engage with local authorities, including preparing documentation and attending hearings;Assist with grant writing and support efforts mandated by state and local governments.
