Project Administration• Assist the PM in the drafting and issuance of project proposals, RFPs, tenders, budgets, cash flows and preliminary schedules• Maintain contract execution tracking log• Under the direction of the PM, issue LOIs, draft contracts and purchase orders• Review field inspection reports from consultants• Track and process shop drawings and ensure timely submission to consultant team• Update drawing lists and ensure that all project stakeholders have current documents• Track As-Built information and assist site team with updating drawings regularly• Manage contemplated change notices and change orders including soliciting pricing and providing a cost summary to PM• Update sub-contract changes in Spectrum and ensure accuracy in current contract status• Prepare substantial completion certificates and ensure all required project closeout documents are complete, including O&M Manuals and As-Builts• Keep the PM and others informed about project status and issues that may impact client relationsDocument Control and Reporting• Manage all site documents including inspection records• Assist with monthly job progress & profit reporting• Assist in invoice processing by locating appropriate commitments and completing necessary corrections if required.• Ensure all purchases are tracked, appropriately coded according to company format and entered into Spectrum ERP softwareAdministrative Support to the Site • Create and deliver change orders and ensure all changes are done with the project manager and proper people are notified• Take, track and forward meeting minutes to stakeholders• Compile, track and ensure all final occupancy documentation is submitted to relevant Consultants and Municipality
