Entering, tracking and organizing commitments and related documentation From subs/vendors in Sage. Assist Senior Project Manager and project team to develop and modify contracts to satisfy contractual needs on commercial core and shell and tenant improvement projects and ensuring that all subcontractor’s project specific requirements are met to prevent delays in scope of work being executed. Process POs and Change Orders including Owner change order request. Tracking Safety Compliance Documents. Collect W-9s;Business licenses & expirations: Insurance certificates; Contractors State Licenses & expirations. Collect billings from subcontractor\'s on a monthly/progress basis. Making sure all releases are in place from subcontractors and suppliers. Release files to Accounting to process payments to subcontractors and vendors. Purchase material and Equipment. Submit Owner Application for payment with all required documentation. Submit Quick Bills for Reimbursements to owner. Reviewing commitment reports against Job Cost and Budgets on a regular basis.Updating job cost and budget trackers to maintain up to date information and ensure accuracy and the cohesion of information between the Production and Accounting teams.Go to city and pull permits and city licenses. Close-out warranties and documentation. Attend job walks and provide photos and notes to Project Manager.Help in reaching out to subcontractors in submitting bids on time and following up with changes.Send out RFI\'s and Submittals.
