Collect and review all job tickets and service reports to assure compliance with company policy and procedures in completing tickets/reports.• Ensure that all billable expenses are properly invoiced and reconcile any discrepancies.• Report billing/ticket issues to supervisor immediately for quick resolution.• Input data in accounting software for billing purposes. This includes coding based on equipment, division, etc.• Ensure sales tax is properly collected on new customers and expansion orders in relevant tax jurisdictions.• Prepare and distribute pre-bills for review and approval by the internal projects lead.• After approval, prepare invoices and any required documentation to accompany invoices such as pay applications, back-up documentation, reimbursable receipts, etc. Send to client per submittal instructions, whether email or portal. Process invoices and monthly retainers including applicable credit memos.• Assist customers with account inquiries as needed and problematic matters maintain customer files and accounts.• Reconcile accounts to correct billing discrepancies, as needed.• Work with Projects Leads on internal billing status and project changes, including change orders, contract amendments, etc.
