Control all documentation entering and leaving the project, including its registering, numbering, filing and distribution, utilizing in-house EDMS, to allow rapid and efficient retrieval of documentation. • Developing and maintaining appropriate office procedures and document control systems • Assisting PMs with preparation of documents pack for Bids • Coordinating Recommendations List closure, Suitability Survey and Attendance Reports and keeping track of Certificates of Approval issued • Screening of emails escalating the urgencies to PMs, booking meetings and setting up of conference calls, booking travels, and dealing with different queries including assist with client enquiries via email and phone • Review customer documentation for technical clarification and re-submission preparing transmittals • Use of customer’s web portals to upload and access documentation • Helping our Surveyors with VISA applications and work permits • Translation coordination • Creating reports for Project Managers as required and formatting reports when requested • Liaising with the Project Managers and assisting all departments regarding document control issues prioritizing work • Regularly updating and maintaining internal reporting systems • Provide general information to the PMs to assist with organisational operations • Creation of clear and accurate progress reports for the project managers; highlighting project progress and any outstanding tasks to be completed on live projects • Assisting in the creation of periodical progress updates for clients • Review and monitor project financials; track project expenses; trigger timely invoice requests • Coordinating information among different offices across different time zones (document review, invoicing, logistic etc)
