Responsibilities:• Proactively manage diary for EVP of Global Operations at BBC Studios, ensuring coordination of multiple stakeholders• Organise travel itineraries and set up international meetings with key internal and external stakeholders• Trusted in confidential meetings, handling private data and ensuring secure storage of documents• Organise major team events, including coordinating agenda, presentations, speakers, facilities and hospitality • Supporting recruitment, ensuring timely scheduling of interviews, supporting conversations, reviewing applications against requirements for positions and giving feedback• Assist and track key departmental growth projects providing general administrative services, basic analytics reports and tracking outputs• Coordinate business calendar activities to help monitor delivery and outputs• Create and cascade information across the department to ensure effective communication flow• Support Global Operations initiatives including Awards, Engagement Cabinet and Newsletters• Working with team managers to ensure new starters and leavers are supported appropriately • Provide financial administration support to Heads of Departments, generating purchase orders in SAP• Build relationships between other key functions to ensure best practice approach and information sharing Achievements:• Produced complex Organisation Charts from scratch in order to support significant team restructure • Successfully coordinated Senior Leadership week, ensuring availability for meetings and training sessions which included multiple members of the team• Arranged and coordinated a project away day to an off-site location for 40 people
