Work closely on department protocol, reporting, quality control, and follow-up- Act as junior Closing Manager working closely with the Assistant Vice President, Investment Team, Legal, Accounting, and Asset Management team throughout the transaction - Serve as backup to the Assistant Vice President in their absence to include leading deal-related calls - Review, log, and track due diligence related documentation, critical dates, and deadlines for investment transactions; set up calendar events for said dates - Assist in ordering 3rd party reports - Request new document management system sites, send all access emails for external users, and establish alerts for subscribers - Create diligence tracking items during transaction kick-off including the Working Group List, Diligence Submittals list, and Expense Tracking Log - Organize and assess electronic due diligence documentation on document management system to include review and determination of missing or needed items - Assist in maintaining Salesforce diligence tracking, data fields, and contacts - Assist in reconciling transaction expenses at closing for settlement statement preparation - Set up, track attendance and attend kick-off, status, and transition calls; lead calls on occasion - Assist in closing procedures, including hand-off to Project Coordinator of all tracked closing documentation - Onboard training for new employees in document management systems - Assist in litigation discovery efforts - Utilize accounting systems to process payables, assemble transaction general ledgers, and research vendors - Serve as liaison with IT department in document management system issues and testing new software to automate and create efficiency
