Providing full Executive Assistant services for the Nursing Directorate, utilising advanced knowledge of standard computer applications including MS Word, Excel, Outlook, MS Teams and PowerPoint • Support the DDON with the planning and delivery of various projects: o Coordinate project activities, manage schedules, liaise with stakeholders, manage all risks and issues effectively and ensure project deliverables are completed on time and within budgeto Stakeholders include: internal staff - management and clinical, partners from other Trusts and Community networks and the Involvement team• Manage complex diary - organize, schedule and plan meetings and appointments - online and face to face, being proactive and anticipatory, enhances the executives daily experience• Working in a fast paced environment where situations can change quickly, adapting to the changes, being flexible, able to multitask and to communicate any changes, maintain confidentiality• Manage agendas, collate papers, transcribe minutes and action logs for executive and committee meetings, including supporting and assisting follow ups within established time frames• Generate own reports from NHS apps and systems, simplifying the design of information presented to improve understanding. Create and maintain databases• Oversee the planning and execution of events, schedule presenters, book venues and catering within budget• Draft correspondence and documents using good language and grammar skills. Communicate clearly and professionally with internal and external customers• Processing and managing expenses, invoices and purchase orders• Procurement of stationery and printing, awards, functions, travel arrangements • Pay close attention to detail in all aspects of the job• Support recruiting and onboarding new starters for the department, manage staff, authorise time and attendance
