RESPONSIBILITIES• Providing complete administrative project support to the team, including handling project documentation and managing both digital and paper filing systems• Utilising a wide array of software applications to streamline management of correspondence, spreadsheets, and databases - software applications include: Aconex, Oracle, Datascope etc• Acting as the point of contact and communicating project status to the engineering, design and utilities teams• Organising and coordinating calendars, team meetings, events, appointments and annual reviews for internal and external teams• Supporting IT team with the management of IT systems and IT equipment for onboarding and offboarding starters• Conducting pre-check inductions for new starters/operatives/sub-contractors, including verification of RTW documents and efficient use of the Datascope and Compliant 101 PPAC system to ensure compliance with Mace policies• Ensuring confidentiality of sensitive information, including client communications, agreements, and financial data, providing trust and professionalism with the executives and clients• Producing data dashboards, graphs, visualisations and reports to the engineering lead in a clear and actionable manner• Preparing, editing and updating correspondence, policies, work packages, construction documents and presentations, ensuring accuracy and professionalism in all communications• Maintaining weekly and monthly reports for the senior management team• Keeping morale of the team up and helping to build strong working relationships to ensure the project’s success
