Manage calendars, schedule meetings, and coordinate appointments for Senior Director of Facilities Operations and Weekend Experience Pastor.Prepare, proofread, and distribute internal and external communications, emails, and meeting materials.Enter and maintain financial data including budgets, expense reports, invoices, and check requests for Facilities and Weekend Experience activities using designated management systems.Serve as a point of contact between internal departments, external vendors, and service providers.Liaison with Facilities and Weekend Experience teams to help ensure smooth execution of projects and events.Assist with communicating updates to departmental staff and volunteers, ensuring required training and background checks are completed as needed.Organize and maintain digital and physical files, databases, and records.Assist with report generation and the preparation of presentations for team meetings and strategic planning sessions.Provide on-site administrative support during weekend events as needed, ensuring that logistical details are managed and participants are well-informed.Assist with ordering and managing meals and snacks for weekend services and events for the Weekend Experience team.Assist in the execution and planning of Weekend Experience volunteer appreciation events.Plan and book travel or activities for Weekend Experience Team retreats and offsites.Communicate and assist with accommodations, payment, and schedule for guest worship leaders and production guests.Update and maintain E-space (event and facility management system) for event reservations, shipping and receiving tracking, and work orders.Manage the receiving area by tracking all incoming packages and mail and sending notifications to recipients.Maintain a clean, organized, and functional shipping and receiving area.
