Creating requisitions for POs when I receive quotes, SOWs, WO, and or invoices from the managers. • work with Accounts Payable, and manage the voucher logs which have the invoices received from the vendor. • Invoices are communicated to the managers or requestor, and upon approval the invoice gets received. • Invoices are analyzed to ensure that the charges are valid and services, and or goods have been received before the invoice can be received. • Invoices that have no information or POs are investigated and ensure there is ownership of an invoice. • Manage vendors within a spreadsheet and record invoices which I’ve received, and contain updated POs. • Last year POs are cancelled and relayed to BU or managers to request a new blanket PO for the new year. • Gather necessary information from the vendor to either update or get them created in our system (JD Edwards). Also any questions they may have during the process of getting them setup and or updated. • Streamlined processes by creating PO Request forms and Contractor forms to request POs and ensure that they are followed through. • Manage an email address (P••••••••@westjet.com) where the manager can forward their PO request/ Contractor form(s). • Once requisitions are approved I or the Procurement teams generate the POs and forward it to the Manager/ Requestor and or the Vendor to ensure that the PO gets put onto the invoice(s). • Along with this I do have some designated and some undesignated roles that I do. • Continuation of streamlining processes and viewing any hindrances or redundancies and or add new steps to smooth out the process. • Facilitate meetings to ensure resolutions for issues that require a team to resolve. • Provide one on one training to applications to employees and clients. • Ongoing improvements on.
