Collaboration Coordinator - Engagement @VIER PFOTEN

In my role as Collaboration Coordinator within the Engagement Department, I support smooth communication, alignment, and operational effectiveness across a 30+ person international team. My work focuses on strengthening collaboration and ensuring our engagement, communications, and research functions run efficiently and cohesively.Key responsibilities include:Providing administrative, organisational, and operational support to the Engagement Director and wider department.Supporting and monitoring departmental projects by researching and preparing briefs, summaries, reports, presentations, and data insights.Managing CRM systems, shared databases, organisation-wide calendars, and other planning tools to keep information accurate and accessible.Coordinating with external vendors and suppliers, organising bids, and assisting with contracts to ensure cost-effective and timely delivery of services and materials.Facilitating inter and cross departmental meetings.Organising team events, workshops, and training sessions, including logistics, venues, and materials preparation.Maintaining and updating departmental templates, standard documents, policies, and procedures, acting as the first point of contact for creation and revision.Managing internal knowledge hubs, best-practice guides, and FAQs to support continuous learning and development.Promoting open communication, inclusivity, and healthy team dynamics, helping to foster a positive and productive working environment.
