Generate, edit and circulate requests for information (RFIs) email to project team and customer.• Compiles and formats Weekly Project progress report for Project Manager and customer.• Establishes and maintains master document register (MDR) in electronic and paper filing systems for all project-related documents (contracts, drawings, invoices, inspection reports, Job traveler, testing report), ensuring version control and audit readiness.• Enters and updates data in project-tracking databases (Jobboss software) and spreadsheets.• Gathers, collates and formats data—such as project costs, timelines and material delivery schedules—into regular status reports and presentations.• Serves as the first point of contact for client, vendors and shipping inquiries- Routes calls and correspondence to appropriate team members and ensures prompt follow-up.• Greet visitors, determine the purpose of their visit and direct them to the appropriate person.• Provides photocopying, scanning,(Sand blast report, Paint report, Hydrotest report) and routine bookkeeping to ensure efficient office operations.• Prepare and update cost reports, forecasts, and expenditure statements using Jobboss and Excel, ensuring accurate tracking of budgets and identifying potential cost variances for projects.• Utilize Jobboss to generate material take-offs and cost estimates for piping and coating projects, ensuring all estimates are accurate and comply with project specifications.• Manage change orders by evaluating scope alterations (e.g, additional piping runs, changes in coating specifications), updating cost estimates, and ensuring project budgets remain on track.• Create and manage detailed construction progress schedules, ensuring all project phases are executed on time by monitoring timelines and resource allocations and addressing delays proactively.
